Position: Operations Administrative Assistant
Location: Sacramento, CA 95826
Hours: Full Time, Non-Exempt
Schedule: Hybrid, Monday – Friday 9:00am-5:00pm
Compensation: $28.00 - $30.00 per hour, depending on experience
Job Summary:
We are seeking an Operations Administrative Assistant who will play a key role in supporting our central office operations, ensuring smooth day‑to‑day functioning, and strengthening internal coordination across departments.
This role provides administrative support with a focus on office management, customer service, executive support, and coordination for the Community Development team. Responsibilities may evolve as organizational needs grow.

Responsibilities:
Central Office Operations (50%):
- Greet guests, manage calls, mail, and daily office needs.
- Maintain shared spaces, supplies, files, and digital systems (Office 365/SharePoint).
- Coordinate with vendors and support office space planning.
- Manage contract routing and filing.
Support for COO & CFO (25%):
- Provide administrative and project support.
- Assist with meetings, events, travel, and internal communications.
- Support invoicing, vendor setup, expenses, and purchase card reconciliation.
- Provide backup support to the Executive Assistant.
Community Development Support (25%):
- Coordinate department activities, meetings, and events.
- Support purchases and supply management.
- Create Salesforce reports and dashboards (training provided).
- Identify process improvements.
Qualifications:
- Associate or bachelor’s degree in nonprofit management, public administration, communications, research, data management, or a related field (or equivalent experience).
- 2+ years administrative experience (nonprofit preferred).
- Strong communication, organization, and follow‑through.
- Proficiency with Microsoft Office; comfort learning new systems.
- Ability to manage multiple priorities in a fast‑paced environment.
- Experience with affordable housing, Salesforce, or SharePoint is a plus.
- Notary certification preferred (or willingness to obtain).
- Valid driver’s license and reliable transportation required.
- Must pass criminal background screening, including education verification and DMV check.
